Fax From Your Computer, Instead of a Fax Machine


You may be used to using regular fax machines, but you could still benefit from switching to an online service. These services aren't just a lot cheaper, they are more flexible and convenient, which can help you to save time and be more productive in the business world. Some people may worry that the lower price means they may be less reliable. While the price usually is a lot lower, it's not because they're less reliable. In fact, they are oftentimes a lot more reliable than older types of fax machines.

If these services can be more reliable and less expensive, how can the providers stay in business? The answer is in the way that the data is transmitted. Sending large amounts of data over a phone line, like fax machines did in the past, could be expensive. Faxes with many pages, or those being sent to long distance numbers, could really add up on your monthly phone bill. And then, of course, there was the cost of having that extra phone line in the first place. To use older fax machines, you had to buy the machine, buy and install an extra phone line, and keep your machine serviced. You needed to buy a lot of paper and ink, since fax machines tended to waste a lot of paper by printing out junk faxes. If you ran out of ink, you couldn't receive any faxes. Faxes wouldn't come through if the machine was turned off, either, so leaving them on all day and all night would contribute to higher energy bills.

Sending data over the internet is inexpensive. Now that most homes and businesses have high speed internet access, it's also nearly immediate. Internet fax services have a lot fewer limitations on how many documents you can send. If you want to send a particular document to multiple numbers, this can be done much more quickly and easily with an online fax service than with a regular fax machine. These services are also able to receive multiple documents at once, and to receive files at the same time you are sending outgoing faxes. This was not possible on most early fax machines.

Another problem in the past was that you couldn't get your faxes unless you were at the office. If you left a file there, you may need to wait until the next day to see it again. You had to be there to send files, as well, even if you really wanted to send something out immediately. With online fax, you can send, receive, and view all your faxes at any time, even if you're not at the office. If you have access to a computer, you can send or receive a fax. This means you have constant access to all your important faxes, which can make you more productive. You also don't have to worry so much about losing faxes, because you now have an online digital backup of all your files.
